Terms and conditions of hire.
These terms apply to all charter bookings with Bus Hire In Sydney. Last updated 17 August 2026.
1. Who these terms are between
These terms form the agreement between the hirer (“you”) and Bus Hire In Sydney, a Waggie Group business (“we”, “us”), for the supply of charter bus and coach services. They apply from the moment you confirm a booking, whether by email, phone or through the quote form on this site.
2. Quotations
Quotes are based on the information you give us — passenger numbers, addresses, dates, times and any special requirements. They are valid for the period stated on the quote and are subject to vehicle availability at the time of confirmation. If the details of the job change materially, the quote may change; we will tell you before we act on any change.
Charter is priced per vehicle, not per passenger. Unless the quote says otherwise, hire time is calculated from when the vehicle departs our depot to when it returns.
3. What is and is not included
Unless stated otherwise in your quote, the price includes the vehicle, a licensed and accredited driver, fuel, Sydney metropolitan tolls, and comprehensive motor vehicle and public liability insurance.
It does not include venue or attraction parking fees, airport access and parking charges, entry fees, driver accommodation and meals on multi-day charters, out-of-standard-hours loading, or waiting and travel time beyond the booked hours. Additional hours are charged at the rate shown on your quote.
4. Deposits and payment
A deposit may be required to secure your date, with the balance payable before travel. The amount and due dates are stated on your quote and confirmation. Accounts on agreed terms are available to established corporate, school and club clients. We may decline to commence a charter where payment terms have not been met.
5. Changes and cancellation
Tell us about any change as early as you can — moving a booking is nearly always easier than cancelling one. Cancellation charges are set out in your booking confirmation and generally increase as the travel date approaches, reflecting the fact that a vehicle and driver committed to your job cannot be resold at short notice. Amendments to timings, routes or passenger numbers may change the price.
We may cancel or vary a booking where required for safety, legal compliance, driver fatigue management, extreme weather, road closure or events beyond our reasonable control. Where we cancel for reasons other than your breach of these terms, we will refund amounts paid for the cancelled service.
6. Passengers and conduct
You are responsible for the conduct of your group. Passengers must follow reasonable directions from the driver, remain seated while the vehicle is moving, and must not obstruct the aisle or the driver's vision. Smoking and vaping are not permitted on any vehicle.
Alcohol is permitted on private adult charters at our discretion and is not permitted on school, junior sporting or other work involving minors. Where a passenger's behaviour creates a safety risk, the driver may stop the vehicle, refuse to continue or refuse carriage. Cleaning, damage or security deposits may apply and are stated in your quote.
7. Seatbelts, restraints and children
Where seatbelts are fitted to a vehicle, passengers must wear them. Not every charter vehicle in New South Wales is seatbelt-equipped; if a fully seatbelted vehicle is required for your booking, this must be requested at the time of enquiry and confirmed in writing on your quote.
Prams and strollers may not be used as a restraint and must be folded and stowed. Where children are travelling, supervision remains the responsibility of the school, club, organiser or accompanying adults at all times, including during boarding and alighting.
8. Luggage and property
Luggage capacity varies by vehicle and is quoted on the basis of the volumes you tell us about. Luggage must not be carried in the aisle. We do not accept liability for loss of or damage to personal property left on a vehicle, except to the extent caused by our negligence or as required by law. Items found are held for a reasonable period — contact us as soon as you notice something missing.
9. Delays
We plan generous margins, but traffic incidents, road closures, weather and third-party delays occur. We are not liable for consequential loss arising from a delay outside our reasonable control. Where a delay is caused by your group's late boarding or an itinerary change on the day, additional time may be charged.
10. Accreditation and compliance
We hold Bus Operator Accreditation issued by Transport for NSW under the Passenger Transport Act 2014 (NSW), maintain a documented Safety Management System and present vehicles for inspection as required under the Heavy Vehicle Inspection Scheme. Drivers hold the licence class required for the vehicle operated, and drivers allocated to work involving children hold a current NSW Working With Children Check. Driver fatigue management requirements may affect what itineraries we are able to accept.
11. Your rights under Australian Consumer Law
Our services come with guarantees that cannot be excluded under the Australian Consumer Law. Nothing in these terms limits, excludes or modifies those guarantees or any other right you have that cannot lawfully be excluded. To the extent permitted by law, our liability for a failure to comply with a consumer guarantee is limited to resupplying the service or paying the cost of having it resupplied.
12. Privacy
We handle personal information in accordance with our privacy policy and the Privacy Act 1988 (Cth).
13. Governing law
These terms are governed by the laws of New South Wales, and the parties submit to the non-exclusive jurisdiction of the courts of that State.
